Our privacy policy and how we use your data

RIA Pulse Privacy Policy

Welcome to RIA Pulse, a comprehensive RIA research platform operated by RIA Pulse, Inc. ("we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use RIA Pulse (the "Service"). By using the Service, you consent to the practices described in this Privacy Policy.

1. Our Privacy Commitment

We take your privacy seriously. We understand that users may be conducting business-sensitive research on RIA Pulse. Therefore:

  • We DO NOT track which specific firms you view, search for, or export.
  • We DO NOT share your research activity with third parties.
  • Your watchlists are ONLY used to provide you with email notifications.
  • Your primary firm designation is ONLY used to provide reccomendations for peer firms.

Your research activities remain private and confidential.

2. Information We Collect

2.1 Information You Provide

We collect information you voluntarily provide when you use the Service, including:

  • Account Information: Email address and password when you create an account.
  • Contact Information: Name and other details when you contact us for support or inquiries.
  • Payment Information: If you purchase custom plans or data access, payment details are collected through our payment processor (Stripe). We do not store your full credit card information.

2.2 Information Collected Automatically

We collect limited technical information automatically:

  • Anonymized Usage Data: General information about how you use the Service, such as pages visited, and session duration. This data is collected through Google Analytics and is not tied to your RIA Pulse account.
  • Device Information: IP address, browser type, operating system, and device identifiers for security and technical purposes.
  • Cookies: Authentication cookies to keep you logged in, and analytics cookies from Google Analytics to understand aggregate usage patterns.

2.3 AI-Generated Content

When you use our AI Firm Analysis feature, we process firm data and publicly available information through OpenAI's API to generate analysis and insights. The firm data submitted for analysis is used only to generate your requested analysis and is subject to OpenAI's data processing terms.

3. How We Use Your Information

We use your information to:

  • Provide and maintain the Service, including user authentication and account management.
  • Process payments for custom plans and data access services.
  • Send service-related notifications and watchlist alerts if you have enabled these features.
  • Improve the Service through anonymized, aggregate usage analytics (not firm-specific research tracking).
  • Respond to your inquiries and provide customer support.
  • Comply with legal obligations and protect the security and integrity of the Service.
  • Detect and prevent fraud, abuse, or unauthorized access.

4. How We Share Your Information

We do not sell, rent, or share your personal information with third parties except as described below:

  • Service Providers: We share information with trusted third-party service providers who assist in operating the Service:
    • Supabase: Database hosting and authentication services
    • Stripe: Payment processing for custom plans
    • Google Analytics: Anonymized usage analytics
    • OpenAI: AI analysis generation (firm data only, not your personal information)
    These providers are contractually obligated to protect your information and use it only for providing their services to us.
  • Legal Requirements: We may disclose your information if required by law, such as in response to a valid court order, subpoena, government investigation, or other legal process.
  • Business Transfers: If RIA Pulse, Inc. is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice and ensure the new entity honors this Privacy Policy.
  • Protection of Rights: We may disclose information when we believe it is necessary to enforce our Terms of Service, protect our rights or property, or ensure the safety of our users or others.

5. Data Storage and Security

We store your information on secure servers located in the United States, managed by Supabase. We implement industry-standard technical and organizational security measures, including:

  • Encryption of data in transit using HTTPS/TLS
  • Secure authentication and password hashing
  • Regular security audits and monitoring
  • Access controls limiting who can access user data

However, no system is completely secure, and we cannot guarantee the absolute security of your data. You are responsible for maintaining the confidentiality of your account credentials.

6. Your Privacy Rights and Choices

6.1 Account Management

  • Update your email address or password through your account settings
  • Manage notification preferences for watchlist alerts
  • Request account deletion by contacting us at jayce@jintra.io

6.2 Cookie Management

You can control cookies through your browser settings. Note that disabling authentication cookies will prevent you from staying logged in to the Service.

6.3 Analytics Opt-Out

You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

6.4 Data Deletion

Upon account deletion, we will delete your personal information, including your email, account settings, and watchlists. We may retain anonymized usage statistics and data required for legal, tax, or audit purposes.

6.5 California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to Know: Request information about the personal information we collect, use, and share
  • Right to Delete: Request deletion of your personal information
  • Right to Opt-Out: We do not sell personal information
  • Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights

7. Data Sources and Public Information

RIA Pulse aggregates and analyzes data from publicly available sources:

  • SEC Investment Adviser Public Disclosure (IAPD) system and ADV filings
  • RIA firm websites
  • News articles and press releases about RIA firms

This public RIA firm data is separate from your personal account information and usage data.

8. AI-Generated Content and OpenAI

Our AI Firm Analysis feature uses OpenAI's API to generate insights based on publicly available firm data. When you request AI analysis:

  • Firm data (not your personal information) is sent to OpenAI for processing
  • OpenAI processes this data according to their data processing agreement
  • The AI-generated analysis becomes part of the Service and is owned by RIA Pulse, Inc.
  • AI-generated content may contain inaccuracies and should not be relied upon as the sole source for business decisions

9. Children's Privacy

RIA Pulse is a professional research platform not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided us with personal information, we will take immediate steps to delete it.

10. International Users

The Service is operated from the United States and is governed by U.S. law. If you access the Service from outside the U.S., your information will be transferred to, stored, and processed in the United States. By using the Service, you consent to this transfer and processing.

For users in the European Union, please note that we do not specifically target EU residents, but if you use our Service, your data will be processed in the United States.

11. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. After account deletion, we may retain:

  • Anonymized usage statistics indefinitely
  • Information required for legal, tax, audit, or regulatory compliance purposes
  • Information necessary to resolve disputes or enforce our agreements

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of material changes by:

  • Posting the updated Privacy Policy on our website with a new "Last Updated" date
  • Sending an email notification to your registered email address for significant changes
  • Displaying a notice within the Service

Your continued use of the Service after such changes constitutes your acceptance of the revised Privacy Policy.
